POSITION TITLE: Administrative Associate
Hours: 30 hrs. per week. Normal business hours are Monday through Friday, 9:00 AM to 5:00 PM. This position will be for the hours of 11:00 AM – 5:00 PM but occasional evenings and weekends will be required. Flex time available.
Employer Information: The Jewish Federation of St. Joseph Valley is a 501 c3 non-profit agency that has been a vital part of building a diverse Jewish community in Northcentral Indiana and Southwest Michigan for over 75 years. The Jewish Federation of St. Joseph Valley is a central resource to embrace, connect, and support Jews locally and globally through social services, coordinated fundraising, community outreach, and educational programming.
This position reports directly to the Executive Director and Director of Operations and Finance. The Administrative Associate is responsible for the performance of administrative duties in support of programming, operations, and engagement. This position will work directly with lay leadership, donors, vendors, staff, and programming participants.
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
- Answer phones and doors, screen and greet guests using best practices. Focus on enhancing donor and member relations through positive and respectful interactions with our members, donors, program attendees, volunteers, and Family Service clients.
- Perform administrative duties such as tracking reservations, maintaining an up-to-date program calendar, file management, assisting with printed and digital communications, data entry, and database management.
- Maintain strict confidentiality in all areas, including client relations, donor information, and personal data.
- Schedule zooms for committees and community events.
- Compile and distribute materials for committee and board meetings, as well as provide administrative support for Federation projects. Help maintain proper documentation regarding policy development, board meetings, approved motions.
- Assist Director of Operations and Finance in administrative tasks related to invoicing, fundraising, and donor appreciation, including thank you letters, tribute cards, data entry, and running reports.
- Screen and schedule volunteers as needed.
- Additional duties and collaborations to ensure the completion of all tasks necessary to promote the mission of the Jewish Federation.
Preferred Skill Set
- Experience in a non-profit environment as an employee or active volunteer.
- Experience in community relations and customer service
- General computer skills including Microsoft Office 365, QuickBooks, and CRM software.
- Self-motivated with excellent organizational skills, attention to detail, and ability to prioritize multiple tasks
- Ability to work independently and with a team
- Ability to maintain a high level of confidentiality
- Excellent written and verbal communication skills
- Ability to work with a wide array of personalities with a need for adaptability for last-minute changes to programs and communications.
- Demonstrated ability to work successfully in a mission-driven organization and deliver top-level service to all constituents
- A general understanding and knowledge of Jewish culture is helpful but not required.
Salary and Benefits
- Pay rate begins at $19.50 an hour based on experience
- 30 hours per week

Requirements for Hire
- All employees must be eligible to work in the United States
- High School Diploma or equivalent is required; completion of a postsecondary education program is preferred.
- Any offer of employment is dependent on the completion of a background check
- Availability with notice is required for occasional evening and Sunday
